Individuals can complete Right to Know (RTK) training via:

  1. RosterTech (online via Moodle)
    • Completions transferred to EHSA at ~7am for the previous 24 hours
  2. RosterTech (sign up for in person session)
    • Completions transferred to EHSA at ~7am for the previous 24 hours
  3. SUMS
    • Immediately transferred to EHSA
  4. USG website
    • Imported to EHSA if easily matched
    • Manually entered into EHSA otherwise

These instructions cover both parts of #4.

  1. Go to https://www.usg.edu/apps/eos/ and log in.
    • My login is my email address
  2. Click on "Right to Know Training Data"
  3. For "Training Program", select "RTK Global Harmonized System"
  4. For "USG Institution", select "Georgia Institute of Technology"
  5. Choose either the Fiscal Year or Calendar Year you want
  6. Click "Search"
  7. Click "download spreadsheet"
  8. Copy the downloaded spreadsheet to ehs_share > Radiation_Safety > ORS Files > Database - OnSite EHSA > SUMS RTK folder and put the dates into the filename. For example, "RTK 2017-02-23 to 2017-08-20.xls"

If there are many records, then you can put the list of training into a specifically formatted spreadsheet and import it into EHSA using the following steps: 

There are 2 options to find GT IDs

  1. Look up the trainees one at a time in Rostertech (or EHSA). (recommended for less than ~20 trainees)
    Rostertech is most likely to have a record of the trainee. Use the User Management function.
  2. Use a lookup function to find the person in a list of workers from EHSA (recommended for more than 20)

  1. In EHSA, go to Workers
  2. Under Reports, click "Lab Worker Master Listing (Alphabetical)"
  3. Select Excel Format Type
  4. Open the report when ready
  5. Select all cells and Unmerge
  6. Delete top 2 rows
  7. Sort by Column A (Worker Name)
  8. Delete unnecessary rows at the bottom.
  9. Delete rows that Contain Page x of y in column A
  10. Select column A (Worker Names)
  11. Under Data, click Text to Columns
    1. Select Delimited, next
    2. Select Comma under Delimiters (unselect all others), next
    3. Select Text data format, Destiniation $A$1, finish
    4. OK to replace Data
  12. Select column C2 
    1. Enter Trim(B2)
    2. Copy all the way down
  13. Select Cell R2
    1. Enter "=C2&" "&A2"
    2. Copy formula all the way down
  14. Save as ehs_share > Radiation_Safety > ORS Files > Database - OnSite EHSA > SUMS RTK > Lab Worker Master Listing Alphabetical (1).xls​

  2. Delete first row
  3. Format column A to date type
  4. Add a column between columns A and B

  6. Fill down
  7. Add a column between columns C and D
  8. In cell D2, enter the formula "=VLOOKUP(C2,'[select cells from R2 to end of column S],2,FALSE)"
  9. Fill down.  You may be prompted to open the file from step 8 again.
  10. Save the file.

  1. Open a new blank spreadsheet.  The following three items will need to be in this spreadsheet.  Instructions follow.
  • Column A must contain "RTK-USG" (exact text inside the quotes)
  • Column B must contain the date, in MM/DD/YYYY format
  • Column C must contain their GTID
  1. ​​​Do not have a header row, paste items into row 1 for the next steps.
  2. Copy all dates from column B of the previous data sheet, and paste values into column B
  3. Copy all GTIDs from column D of the data sheet, and paste values into column C
  4. Type "RTK-USG" into cell A1, and fill down
  5. Sort by column C
  6. Delete all rows that do not contain a valid GTID
  7. ​Save the file to ehs_share > Radiation_Safety > ORS Files > Database - OnSite EHSA > SUMS RTK.  For example ehs_share > Radiation_Safety > ORS Files > Database - OnSite EHSA > SUMS RTK > RTK 2018-01-01 to 2018-08-10-import.xls
