Users are removed from some permits (RAM and XRAY) if they haven't completed the refresher training in an appropriate time frame. Once users do complete the refresher training, they need to be added back onto the permit in a timely manner. This process should be done every Tuesday and Friday for RAM and XRAY.

  1. Go to "Training"
  2. Under the reports section, click on "Training History" then on the report titled "Training History by Course - ORS Refresher Training Check"
  3. Select the date range from the last date that this was done (that is the starting date) to today.  For instance, if you are running this report on a Tuesday, the report date range will be the prior Friday through Tuesday, inclusive.
  4. For the "course_number" field, select the relevant classes (likely RAM refresher and XRAY refresher)
  5. Leave the department blank
  6. Click "View Report"
  7. For each individual listed:
    1. The individual's name will be listed for each instance they are attached to a permit.  If the "Permit #" column shows that they are attached to the same type of permit as the training they took (XRAY permit if they took XRAY refresher), you don't need to do anything for that individual.  Move on to the next individual. If they aren't attached to the same type of permit as the training they took, move on to step 2.
    2. Look at the "Active = 0 Archived = 1" column to see if the worker is active or archived.
      • If the worker is active move on to step 3.
      • If the worker is archived, unarchive them then move on to step 3.
    3. Open their worker record 
    4. Click on "Training" and see when they were due for the refresher. Then check "Permit History" to see if they were removed after it expired. If so, reattach them to those permits. If they were removed before the refresher was due, don't reattach them (they probably left the group and don't need to be reattached) but email them to make sure.  NOTE:  You may find that someone has taken the refresher without taking the initial training.  E-mail them to indicate they took a refresher and that they need to take a classroom training and submit Form B to actually use an x-ray device or radioactive material.  Ask them if they will be doing either of those.
    5. If you had to unarchive them, and didn't reattach them, rearchive them.
    6. If you did reattach them, re-add (or update) their user record.
