There are occasions a radioactive source is shipped to an organization external to Georgia Tech via license transfer.  Typically these will be return-shipped to Georgia Tech, but not always.  The documentation process for these license transfers mirrors the typical waste documentation process that includes

  • Creating an In-Lab RAM Waste Container, which in these cases will be the shipping container.
  • Adding the source to the In-Lab RAM Waste Container (shipping container) and sealing the container.
  • Printing and filing the Form G
  • After shipment, transferring the In-Lab RAM Waste Container contents to the EXTERNALyyyy container.

Creating an In-Lab RAM Waste Container

  1. Click "EHSA".
  2. Click "Waste".
  3. Click "RAM Waste Containers" under the "RAM Waste" heading.
  4. Select "All" in the "View:" drop-down menu to show all current waste containers.
  5. Click "+Add"
  6. A prompt to "Duplicate Previous Container" appears.  Click "Cancel".
  7. Enter the Waste ID # in the "Container #" field  
    • W4digityear-AU#-two digit incremental number (e.g., W2019-483-21).
    • Refer to tracking sheet in Boggs 3-60 for the next applicable number.
  8. Select "Georgia Tech" as the "Waste Generator".
  9. Select "In-Lab RAM Waste" as the "Storage Type".
  10. Select the type of waste container being used for this container number in the drop-down menu for "Container Type".  This could be "Type A-RADIOACTIVE ONLY", "Excepted Package-RADIOACTIVE ONLY", or "Exempt Package-RADIOACTIVE ONLY".
  11. Select the "Waste Type" "Transfer to External Licensee".
  12. Select the "PI Name".
  13. Under "Usage Category", select the form that matches the source being shipped, such as "Solid" or "Sealed Source Disposal".
  14. Select the isotope or isotopes that are being shipped.
  15. Under "Storage Location" select the "Building" and "Location" for the building and room where the source is typically stored.
  16. Click "Save".

Adding Source to Container

  1. Login to EHSA.
  2. Click the red "Inventory" icon.
  3. Under "RAM Inventory", click "Removal of Isotope from PI's Inventory".
  4. Select the name of the radioactive material Authorized User from the "PI" drop-down menu.
  5. Double-click the row for the source that is being transferred to an external licensee.
  6. Under the "Usage for Inventory #:" section, click the "+Add" button.
  7. In the "Description of Waste" field type "License Transfer to externalorganizationname".  You may also add other descriptive details as desired.
  8. In the "Disposal Date" field, enter the date the source was shipped.  
  9. In the "Activity Used"/"Volume Used" field, enter the appropriate activity in the indicated unit of measure.  
  10. Under "Usage Category", select physical form of the waste that was indicated in the "Usage Category" of the In-Lab RAM Waste Container.
  11. Do NOT check the "Disposed?" box if you are shipping a portion of a solid source.  If you are shipping a sealed source DO check the "Disposed?" box. 
  12. Click "Save".

Print and File the Form G

  1. Click "EHSA".
  2. Click "Waste".
  3. Run the report "Form G" under the "RAM Waste Container Reports", using the Waste ID number assigned to the In-Lab/Shipping container. Print the Form G and file it in the EXTERNALyyyy hard copy folder in the file room.

Process the Waste Pickup

  1. Click "Process Waste Pickups" under "Waste Pickup Requests".
  2. Click "View In Lab Ram Containers".
  3. In the "Select" column click the check box next to the container.
  4. Click the button "Mark as Picked-Up".
  5. A box will pop up to change the status of the container; select "ORS Waste Area"
  6. Click "Save".  This will take you back to the waste container view.
  7. Double-click the row for the waste container you just marked as picked up and changed the status to "ORS Waste Area".
  8. Change the "Storage Location" to "Building" Gilbert Hillhouse Boggs and "Location" B-7D.  Click "Save".

Transferring the In-Lab RAM Waste Container/Shipping Container Contents to the EXTERNALyyyy Container

  1. Click "EHSA".
  2. Click "Waste".
  3. Click "RAM Waste Containers" under the "RAM Waste" heading.
  4. Select "All" in the "View:" drop-down menu, and "Current" in the drop-down menu next to that.
  5. Click the small arrow next to the container.  This will expand the list of contents in that container.
  6. Scroll the item(s) to be transferred and check the checkbox for each item to be transferred.
  7. Click the "Transfer" button at the top of the screen.
  8. Select "All" in the "Container Type" Field.
  9. Select EXTERNALyyyy in the "Destination Container" field.  Choose the container for the year in which the source was shipped to the external licensee.
  10. Click "Transfer".

Print the RAM Waste Manifest

  1. Click "EHSA".
  2. Click "Waste".
  3. Run the report "RAM Waste Manifest" under the "RAM Waste Container Reports", using EXTERNALyyyy. Print the manifest and file it in the EXTERNALyyyy hard copy folder in the file room.
